Setup Step 1: Organization Information

Please begin by logging in to ChartCaddy with the information sent to you in the email you got from ChartCaddy Support. It will require a code the first time you log in, which will be sent to the email you specified. You can use the "Send Text" button if needed. If you ever become locked out of your account please give us a call or send us an email as there is no self-service option to unlock it at this time.

Once logged in, please change your password.  Password changes can be made by opening your personal information page, which can be found by clicking the Settings main menu option. Enter a new password into the boxes on your information page labeled "Password" and "Password Again", then click save. Passwords must include one letter, one number, and be at least 12 characters long to be valid. It is best to immediately log out and use the new password to log back in to verify the change. Please note, ChartCaddy support staff will never ask or email requesting your password.

On this same page, briefly check all information for accuracy, particularly phone numbers and emails so we can get in touch with you when necessary. In the bottom section of the page, you will need to add a User Class and a User Facility. Make sure to click the Add Button to apply the selected item from the drop down menu. Adding User Permissions is optional. If you will be providing services to clients then you will need to enter User Credentials as well. The User Credentials will require specific information, most of which is standard billing information. 

Some helpful tips about credentials specifically:
    1. The Bill Legacy field should be for your OKHCA contract number if you have one, or else it can be ignored.
    2. The Bill Zip field is important for OKHCA payers even though it is marked as not required. Please enter the Zip and +4 associated with your OKHCA account if you have one. Contact OKHCA if you have questions about what your Zip and +4 is.
    3. Bogus numbers can be used if necessary, but please use 0000000006 for the NPI number if a credential doesn't have a real NPI number.

Please enter all staff that will be using ChartCaddy. To do so click the little triangle to the left of the Settings menu option, select the "Users" page, and then click the "New" button listed near the top of the page. Don't forget to give the employee their username ("ShortName") and password when you have finished filling out the information for them. They can change their own passwords by logging in, clicking "Settings" directly, and entering their new password in the Password and Password Again boxes. There is a way to mass import user information from a spreadsheet, and for more information on that please contact support.
