Square Synchronization

ChartCaddy has the ability to download Square payments and refunds, which can then be applied to specific chart items. In addition client invoices can be uploaded to Square. To link your Square account go to ChartCaddy's Settings -> Organization, select "Square Payments", click "Process", and then jump through Square's hoops.
  • In order to see or use the client payment and invoice feature in the system you have ask customer support to enable the client invoicing feature in ChartCaddy (see help pages for this).
  • Invoices are posted in ChartCaddy for one ore more clients with the click of a button.
  • Be default ChartCaddy can only match up a payment to client if a customer is set up first on Square so that the name, email, and/or phone number can be matched. Doing this is impractical under certain circumstances, so instead in the payment comment on Square you can enter "CCC", a single space, and the ChartCaddy client ID to force that payment to be linked to a particular client.
  • By default payments are created for the client but not automatically linked to a particular chart item because there is not enough information available on Square to do so. To automatically link a payment to a ChartCaddy chart item you can enter "CCI", a single space, and the chart item ID number. Chart items can be created in advance to have the ID numbers available.
  • In ChartCaddy, if the client isn't paying for their services (ie their parent is) then
    • A) their parent should be listed as a Client Person for the client,
    • B) this person should have a valid email address, and
    • C) the client's Bill Person should be set to that person. This is both for creating invoices in CC and for matching up payments created in Square and/or Acuity.
  • In ChartCaddy, payments without all their money applied to chart items will not show up on an invoice. Chart items linked to payments that don't have all their money applied won't show up either.
  • A negative client due amount should mean the client has a credit and a positive amount should mean they can be invoiced.
