The eligibility status for clients can be verified on demand and instantly by clicking the "Verify" or "Verify Selected" buttons on the Contact, Client, and Client Payer pages. You can mass verify more than one client payer using the Client Payers report. Since there is a charge for every instant client and payer eligibility verification, being able to verify eligibility is restricted to administrators and users with the "Verify Client" permission. If desired eligibility verification can be disabled for the entire organization. For example of the cost, if you run the Client Payer report, select 10 rows, and then click the Verify Selected buttons then $1.20 will be added to your next invoice. There is an organization level option to enable verifying
eligibility for each chart item for selected payers before it can be
completed. Ask customer support for more details.
The system never verifies the eligibility status for some payer
sources like self pay and pro bono, and you don't get charged if you try to verify those payers. Most but not all other payers are supported, and there is no charge if the payer is not supported. Specifically Medicaid, Medicare, and the three Oklahoma MCO payers are supported. You can check ahead of time if a payer is supported by at
https://cms.officeally.com/all-payers-list-2-0-eligibility-270-271. If the client isn't the subscriber (ie a child and the parent is insured) some payers require the subscribers correct birth date or else an error about the birth date is returned.
It is not recommended to verify OKHCA payers because the system automatically verifies
the eligibility status for OKHCA payer sources three times a month with a separate batch process. In
addition the "Payer Comment" for each client is update every night for
OKHCA payer sources (and change notifications sent) even though the
eligibility is not updated. This over night process will also expire ineligible Oklahoma MCO payers listed for the client as long as OK Medicaid or OK ODMHSAS is listed as an active payer for the client.
pVerify
Instead of using the usual third party (Office Ally) for eligibility verification you can link your existing pVerify account to ChartCaddy. pVerify generally supports more payers and returns more information. To link your account add your pVerify API ID and KEY as ChartCaddy facility login username and password. You can check ahead of time if pVerify supports a payer by checking for "EDI" payers at
https://pverify.com/payer-list/. Once linked the the eligibility verification feature changes:
- pVerify is used instead of Office Ally when you click "Verify" on the Contact and Client Payer pages. Office Ally is still used for other eligibility verification checks.
- When pVerify is used you will not be charged by ChartCaddy.
- A copy of the pVerify eligibility summary PDF will automatically be downloaded and attached to the Contact or client chart.
- A version of the eligibility summary will be displayed on the client payer page.
